Implementation
Preparing for the implementation of digital signage involves several critical steps, beginning with the exchange of information required for seamless operation. First and foremost, you must establish a service account responsible for gathering and managing meeting and room-related data.
Subsequently, you must determine whether you have direct or public access to your Exchange Servers, as this connectivity plays a pivotal role in your meeting software’s performance. Understanding your connection parameters is essential.
Moreover, the choice of the tablet to deploy as your display device becomes crucial. It’s imperative to consider that some meeting software applications are exclusive to specific operating systems, such as Android or others. This potential limitation may pose challenges during the setup process.
In my own experience, I encountered a specific hurdle due to my reliance on an office internal network. This network configuration restricted my access to the Exchange Server within this internal network. To circumvent this issue, I opted for a Windows tablet, which could be seamlessly integrated into our Domain Controller system. Once network connectivity was established, I proceeded to install the meeting software.
However, I encountered another obstacle: the meeting software, Meetio, only supported the Android operating system at that time. To overcome this challenge, I decided to leverage Bluestack software, which acts as an Android emulator. This allowed me to run Meetio within the Bluestack Android environment, all while utilizing the same network as the host Windows 7 system.
After successfully installing the necessary software and configuring the environment within Bluestack, I achieved a smooth and effective digital signage setup for displaying meeting and room information.

The project posed a significant challenge for us, particularly because our Denmark Team had already successfully implemented similar solutions in their meeting rooms using high-end iPads and sophisticated software. In this context, my proposal to allocate a budget of just INR 40,000 per room came as a surprising and unconventional choice.
